This template should ideally be used before a project is executed to clarify the roles and responsibilities of each unit or division working as part of your overall project team. When using our template, first up, you need to specify the name of your project (as well as the version if necessary) at the top-right section of our template. Right under, identify the person leading your project – this is usually the project manager responsible for the planning, execution, and review of the project.
Once you’ve entered these basic details, it’s time to revisit your action plan where you should (ideally) already have a list of your deliverables and personnel. Based on your unique project details, you will create a list of all your project deliverables (or tasks) in the first column: make sure to number your task followed by a short description of what the task is, for example, if you are working on a software development project, one of your tasks could be: ‘Task A: To develop back-end services’. Once you have listed down all the tasks that need to be completed during your project’s entire lifecycle, it’s time to identify all individual units of people (or teams) who will be working on them. Each team is expected to have a specific role and contribution vis-a-vis each task.
Use the RACI framework to figure out if each team is the Responsible, Accountable, Consulted, and Informed party for each project deliverable. You can use our drop-down menus to assign RACI roles to each team for each task. To make it easy for you to visualize these relationships, we have used a color-coded system where each RACI role is represented using a different color: Responsible (Yellow), Accountable (Orange), Consulted (Red,) and Informed (Purple).
