Accurate attendance reporting is vital in all types of environments, from work, school, book clubs, and community assemblies to events. This is because it determines multiple aspects, including the level of participation of attendants, compliance with workplace policies, productivity, punctuality, and academic performance.
Considering the importance of attendance, you need to have a functional attendance tracker like the weekly attendance sheet we are offering. It serves as a single tool for recording who is present and who is not, and is equipped with various spreadsheet capabilities to simplify attendance reporting.
It is a simple solution to avoid fancy apps and dedicated attendance machine setup and is useful whether you are a teacher relaying this information to the school administration or parents. This usage is quite popular at all levels of education; however, it is mostly in universities where students are expected to meet the minimum attendance percentage as part of their academic performance and criteria for qualifying for the end-of-semester exams.
How to Effectively Use this Weekly Attendance Sheet
To get the most out of this weekly attendance sheet, you must first understand its features. Here is a guide on how to leverage the various components of this template to accurately track weekly attendance for students:
Professor name and course title
You need to contextualize the attendance sheet by specifying the name of the professor of the lecture and the course title. This information will help you distinguish different attendance sheets, especially if you are tracking for multiple courses.
Time/class period and week start
Specify the time when the class is taking place by recording the time and the first date of the week. Remember, attendance reports should be sequential to help you identify patterns for students and formulate informed conclusions.
Key
A key indicates the different codes used in the attendance sheet. This template offers four attendance statuses – Present (P), Unexcused Absence (U), Excused Absence (E), and Tardy (T). Single letters are used to make the sheet tidier. However, you can personalize these statuses in the configuration sheet of this template. Changes in the configuration sheet will be automatically updated in the main attendance sheet.
Student identification
The next items are the student’s name and ID, which are needed to identify every attendant in the class. This column has 12 students, but you can add more depending on the size of your class.
Calendar
The calendar is necessary to specify each weekday when attendance is being tracked. This calendar is automatically generated from the date you enter in the ‘Week Starting’ placeholder (Cell F8). So, make sure that the date begins on a Monday to align with a standard school week.
Attendance report
The attendance of each student listed under the ‘Student Name’ column has to be tracked for seven calendar days. Then, under the ‘Total’ section, a full report on their weekly attendance is automatically given, showing how many times/days they have been either Present (P), Unexcused Absence (U), Excused Absence (E), or Tardy (T).
A Quick Word
You can access this weekly attendance sheet in multiple file formats, including XLSX, DOCX, Google Sheets, and Google Docs. These options give you the flexibility to use the version that best suits your attendance reporting needs. For instance, the Google Sheets version allows you to track attendance in real-time and is thus suited for remote classes, which have become popular recently.
