Categorize Your Tasks

Let’s say you are an academic, conducting interviews, data analysis and desk research all at once – or perhaps you are just a regular bloke trying to fit in your friends, family, work & passions in the span of a day, it’s always a good idea to break complex to-dos into smaller, actionable tasks. 

Start by categorizing your tasks into broad categories based on their nature or type such as “Research,” “Writing,” “Meetings,” or “Fieldwork”. Our own template has been designed with a holistic approach to living that focuses on physical, mental, and emotional well-being; with activity categories such as Work, Sports, Art, Family, and Friends.

That said, you can easily customize our Category List by adding other types of activities you’re invested in.

Now that you have a few broad categories that will cover most of your daily activities, it’s time to get down to the specifics.

Activity: What is the exact task or activity you are planning to do? (E.g., a Morning Run)

Description: What’s a brief way to describe the task in a way that captures its most salient feature(s)? (5-kilometer run at the park)

Comments: Is there something in particular you want to mention about the task, say, any challenges you encountered during or perhaps an interesting overall remark about your experience? Naturally, this section is to be filled out once you have completed the task.

Collectively, these three sections allow you to identify, plan and chalk out your activities in a way that looking back you have a clear record of what was done, as well as any next steps you might want to take in the future.

Track Your Time

At its core, every activity log is a written record of your tasks organized in chronological order. In most cases, as in our Template, it is a daily log where you put in details about an activity against a specific date.

Category Duration Chart

This chart shown at the top left of our template is the mainstay of our template as it offers a quick snapshot of how much time you spend on each type of activity for any specific duration.

This feature allows for easy filtering and organization of activities based on the Task Categories that you selected when you started using the template. Thus contributing to better time management skills, help template users understand how time is allocated and where adjustments are needed.

First Activity Date and Last Activity Date

These two sections at the top of our main sheet define the overall time period for which you are holding yourself accountable.

This feature is useful because it helps you track your activity log for specific durations of time. For example, if you want to see how much time you spent working during the holidays, you can simply add the dates your holiday season began and ended, and the template will automatically only show results for this period. This lets you identify your productivity patterns, say, when you are most productive and when distractions occur.

Status Checker

Famous business thinker Peter Drucker once said that “you can’t manage what you can’t measure.” That’s why it is important to stay on top of the progress you have achieved with respect to each individual task or activity. 

Use this list to track the status of each activity, selecting from three options like ‘Complete’, ‘Not Started’ or ‘Completed’. 

In addition to the mainsheet, where you can view the status for each task individually in the form of a list, we also include a simple graphic tool (pie chart) at the centre-top of our template.

This easy-to-use feature allows you to see a quick snapshot of progress across all activities for a specific duration of time.  Remember, any changes or updates in the mainsheet are progressively reflected in this chart, making it easy for you to measure your successes and challenges.
