Here is how to use this Gantt chart template to plan your next 24 hours:

Preliminary details

At the top, you need to provide the chart’s context by filling out the project name and project manager to indicate that you are the preparer. Then, indicate the start time (of the 24-hour timeline) and specific date to make sure it is clear when this schedule was created. Changing the start date here automatically changes the start time of the timeline. This information is mainly for communication and documentation purposes. 

Task description

If you need a Gantt chart, you typically have to plan multiple tasks. You need to organize them properly to avoid mixing up, missing, or duplicating tasks.

Here are the template elements to help you with this exercise:

  • Task ID and Name—The task ID helps you list tasks sequentially, as it can be assigned based on the order in which they should be completed. The task name helps identify what each task entails and distinguish each from the others; you can name the tasks using an appropriate descriptor, such as team briefing meeting, prototype presentation, budget reading, etc.
  • Assignee—Assigning tasks to team members enhances coordination and accountability, as everyone learns their contribution to the overall project. It also improves communication as the team becomes aware of who should be contacted for various duties during the 24 hours.
  • Start/end Time and Duration – The start/end time and duration indicate how long each task takes. This Gantt chart’s total cumulative task duration should not exceed 24 hours. Most of the tasks in this template are 1 hour or 2 hours long; however, this duration can be adjusted based on the type of task. To simplify this function, this template has automated it such that if you change the start and/or end time, the duration will be adjusted accordingly to reflect the change. 

24-hour timeline

The last components are the 24-hour timeline and bars. The timeline is divided into 30-minute (half-hour) intervals to allow for scheduling short tasks. It begins at 7:00 AM, but it can start at any specific time you wish to begin work as long as the entire timeline is 24 hours. Remember, this is done by changing the Start Time entry at the top and the changes are automatically in the timeline. Bars visually indicate the task duration and progress. They are color-coded to make the Gantt chart visually engaging and easy to interpret at a glance. For example, if you are working with different departments, you can assign varying colors to each department.
