What is a 2-2-3 Shift Schedule?

The 2-2-3 shift also called the Panama Shift Schedule, is often used in healthcare, IT, or other industries that have 24/7 operations. This schedule is designed to cover a 24-hour work schedule and is used where staff is required to be present 24 hours a day. This schedule consists of two consecutive days of day shifts, followed by two consecutive days of night shifts, and then three days off, creating a repeating cycle.

Each cycle typically includes:

  • Two Days On (Day Shift): Employees work during the day for two consecutive days.
  • Two Days On (Night Shift): Employees then switch to night shifts for the next two consecutive days.
  • Three Days Off: Employees take three days off after finishing their four days of work.

How to Use this Template

This 2-2-3 shift work schedule template is easy to use and comprises three linked sheets. The Main Sheet provides the schedule, while the Shift Sheet is to define and configure shift details. The Employee Sheet manages employee information. 

Main Work Sheet

This main scheduling sheet provides a comprehensive layout for organizing shifts within a 2-2-3 (Panama) work schedule. 

At the top, there are fields for entering the Company Name and Start Date, which set the foundation for the schedule. Next, Day Shift and Night Shift timings are displayed prominently which show the default hours assigned to each shift type. 

Below this, the table includes columns for Teams and daily cells for each day of the week, where specific shifts can be assigned. Each team row represents a different group of employees so that you can allocate their shifts across the calendar. 

The schedule can be reviewed and verified by managers or supervisors using the additional Approval and Signature fields at the bottom.

Date field

The date field at the top allows you to set the start date for the schedule. When you manually change this date, the entire calendar in the table will automatically update to reflect the new dates.

Team selection dropdown

Each cell in the Teams column includes a drop-down menu. By clicking on a cell, you can select a specific team from the drop-down list.

The Shift cells (under each day of the week) offer a dropdown option between “Day” and “Night” shifts. This allows you to quickly choose the appropriate shift for each team on a given day based on your requirements.

Shift Sheet

The shift configuration section includes fields for Start Time, End Time, Paid Hours, and Shift Type (Day or Night), all of which need to be entered manually. The Shift Type (Day or Night) can now be selected from the drop-down menu on the main sheet by setting up these parameters here.

Employee Sheet

The Employee Sheet provides a structured area to manage employee information essential for shift planning. It includes fields for employee names, hourly rates, and assigned teams, along with any other relevant data. 

This sheet serves as the foundation for populating employee details across the schedule. Employee data here is linked dynamically, so changes will automatically update across the workbook where this information is referenced.

Employee data input

In the left section under “Employee” and “Hourly Rate,” manually enter each employee’s name and their corresponding hourly rate. This data serves as the basis for all subsequent calculations.

At the top of the sheet, you’ll find a section providing key calculations for each team. This area is designed to give a quick overview of team costs, employee count, and average rates, making it easy to assess and compare the cost efficiency of each team setup.

  • Sum: This row calculates the total hourly cost for each team by adding up the hourly rates of all employees assigned to that team. 
  • Count: This row shows the number of employees assigned to each team. You can verify the team size with this and ensure that it meets your staffing requirements.
  • Avg: This row displays the average hourly rate for each team, calculated based on the rates of the selected employees. 

Assigning employees to teams

Use the dropdown menus under each team section (Team 1, Team 2, Team 3, and Team 4) to select employees. Each dropdown contains the names of all employees entered in the “Employee” column.

When you select an employee from the dropdown, the “Per Rate Hour” for that employee will automatically display by pulling data from the hourly rates entered earlier.

As you adjust employee assignments in the team dropdowns, the Sum, Count, and Avg rows automatically update to reflect the new selections. This real-time calculation feature allows you to explore different team configurations and see the cost impact instantly.
