This template is developed for the same purpose, allowing you to ease overall shift scheduling. It enables you to divide each day into two 12-hour shifts. Normally, such charts only provide an employee roster where you can set the schedules of your employees but the best part of this template is that it has added automated functions to calculate shift hours and labor costs, customize shifts, and align your teams as per your needs. 

It allows the rotation of shifts as follows:

If a team works three consecutive day shifts or three-night shifts, they can get three consecutive days off. Such a scheduling of shifts is designed to allow employees to have enough rest time which leads to a developing and thriving work environment. 

In the header of this template, you can write your company name and the start date of this shift schedule. The automated function of this template automatically updates the employee roster in a format, such as day, date, and month as you enter the start date. It also allows you to adjust the shift hours for both day and night shifts in the configuration sheet as per your needs. Moreover, it has color-coded bars for day and night shifts with yellow color representing day shifts and indigo color indicating the night shifts within the timeline.

The main sections of this template are the following:

  • Employee Roster: It is a chart that assists you in scheduling shifts for your teams. It has days, dates, and month mentioned on the top. On the left side, you can enter your team names, which can be up to four teams. On the right side is a timeline where you can set the shifts of your teams while rotating their shifts to ensure that they experience both day and night shifts. You can set the shifts of individual teams for each day with a drop-down list provided in each bar. By the end of this chart, you can write your name and signature.
  • Shift Hours: A separate sheet is provided, with automated functions allowing you to calculate the shift hours and total paid hours of your teams as you enter the details. On its left side, there is a column showing dates. On the right, there are four columns where you can write your team names. By the end of each column, you can see the calculated monthly working hours for each team. The daily working hours for each team are displayed in front of them. It also allows you to calculate the sum of daily working hours for each team and for all the teams. 
  • Labor Cost: This section is on the same sheet and provides you with automated functions to calculate the labor cost for each team per day and for all the teams by the end of the month. It has a similar structure to shift hours. Below each team, their labor cost for each day is written. In the labor cost section, you can calculate the daily labor cost for all the teams in front of each day. By the end of each column of teams, their monthly labor cost is displayed as per your set hourly rates. The monthly labor cost for all the teams is also calculated in this section. 
  • Shifts: A configuration sheet is provided where you can set the start and end times for your day and night shifts. As you set these shift hours, they are automatically updated on the employee roster. You can also set the paid hours of your teams in this sheet. 
  • Team Alignment: Aligning a team can be time-consuming, but with the help of this sheet, you can easily align your teams while calculating their average cost per employee and total cost per hour for each team. This sheet also allows you to set the hourly rate for each employee. You can add or remove employees to a team as per your operational needs.
