Industries, such as police departments, healthcare, emergency services, and more, with continuous work schedules around the clock, have to plan and organize shifts of their employees effectively. Without a properly structured document, it is not an easy task. For this purpose, a template is provided with three 8-hour shifts.
Each team has seven work days with a rotation of shift schedules, such as after seven work days, two weekdays are off. After the third week, three off days are provided. HR managers, senior leadership, or supervisors in an industry can use this template to schedule and manage the shifts of teams.
Along with scheduling the shift hours of teams, this template assists you in calculating the shift hours and labor costs. You can also align your teams as per your needs.
At the start of this template, you can write your company name and the start date of your shift schedules. After entering the start date, the automated calendar updates as per the start date. You can also set the shift hours of your teams, i.e., the first shift starts from 7 AM to 3 PM, the second shift from 3 PM to 11 PM, and the third shift from 11 PM to 7 AM.
You can modify these shift hours per your need in the configuration sheet provided. There are color-coded bars for shift hours, such as the first shift is denoted by green color in the timeline, the second shift is represented by blue color, and the third shift is shown with brown color.
The main sections of this template are the following:
- Employee Roster: An employee roster is provided that is a kind of chart with team names and a timeline with days, dates, and months covering 28 days. It can be used to set the shifts of your teams properly. By the end of this sheet, you can write your name and signature.
- Shift Hours: Automated features are added to calculate the working hours of each team in a column in front of each date. Similarly, the daily working hours of all the teams can be automatically calculated by the end of each row in front of each date. At the end of each team’s column, the total paid hours are calculated and written, and by the end of the working hours section, the monthly total paid hours for all the teams are calculated.
- Labor Cost: A separate section is provided to write the labor cost of your employees. It has dates mentioned on its left side, and on the right side, team names with their labor costs. The daily labor cost of one team for each day and the labor cost of all the teams for one day can be calculated using integrated formulas. By the end of each team’s section, their monthly labor cost can be calculated. The monthly labor cost for all the teams can also be calculated using the embedded formulas as you enter your details.
- Shift Hours: A configuration sheet is provided, where you can set your shift’s start and end times. You can also write the paid hours for each shift.
- Team Alignment: In this sheet, you can set the hourly rate for your employees. You can also align your teams by adding more employees to them. Here, you can get an overview of the average cost per employee and the total cost per hour for each team.
