A quick & handy resource for line managers or shift supervisors who are responsible for creating weekly work plans or shift calendars. Scheduling & tracking shifts for each working day of the week ensures a smooth & productive workflow for any project or business.

In the main sheet, we offer a daily shift planner for the first two working weeks. Each working day is divided into three shifts (day, night, evening), but this can be customized. This template helps you plan & assign workload better by allowing you to rotate shifts for individual employees across two weeks. 

This can be handy in situations where, say, you, as HR, want to discourage an employee from taking two Saturday nights off in a row, or if someone is working too many night shifts, you can quickly spot the pattern and check up on them.

In addition to the Main Sheet, a Configuration Sheet is provided so you can adjust our default configurations to your company context.

Customize Our Premade Schedule in 5 Easy Steps

Here’s a quick 5-step guide to using our template:

Step 1: Personalize

First things first. Identify the company and department for which you are developing the schedule. If you have multiple departments, this will help each Head of Department stay on top of their respective teams.

Step 2: Select a Starting Date

This is truly the base point of our schedule. 

You need to manually enter the first working day right at the top of the sheet. The template then auto-updates the first day of the week in the calendar based on the date you specify here.

Based on this date, we also auto-update the first day of the second week, assuming you are scheduling work for two consecutive weeks. 

Our template only allows you to schedule work activities for a maximum of two weeks.

Step 3: List Your Employees

In the first two columns, add the names of everyone who is expected to work in a given week. To integrate information with your official personnel files, you can also add an Employee ID – a unique identification number assigned to employees by most companies at the time of joining.

Step 4: Adjust to Your Shift Structures

While most commercial establishments hire employees to work 9 to 5 daily, others, such as 24/7 food takeaways & call centers, often break down a single working day into multiple time slots or work shifts.  

In our template, we categorize shifts into:

  • ‘Morning’ (06:00 AM – 02:00 PM) 
  • ‘Afternoon’ (02:00 PM – 10:00 PM),
  • ‘Night’ (10:00 PM – 06:00 AM) 

As you can see, each shift corresponds to a particular duration of the day. Go to the Configuration sheet if you want to customize our default drop-down menu. The right categorization helps ensure balanced staffing and smooth operations throughout the day/week.

Step 5: Add scheduling information for each employee.

For each employee, you need to specify which shifts they are available for each day of the week. For staff members who are sick, away, or otherwise unable to work, you can simply write ‘off’ in the relevant cell. Our template will automatically turn that cell RED to give you quick visibility into when a certain staff member will not be available. This can help you make necessary changes or adjustments in your shift calendar.

In the last column (Column M), feel free to share any remarkable detail about the employee or shift in question. For example, are they covering for someone else? Or working overtime? Are there any time-sensitive tasks they must deliver even if they are officially ‘off’ from a particular shift?
