It is a document that organizes and manages the working routine of employees over shifts of 10 consecutive hours a day. Usually, the focus of this 10-hour shift work schedule is to condense the workweek and provide more rest time for employees. It can be used by industries and organizations having busy work schedules, such as healthcare, manufacturing, transportation, construction, and more. It has a chart for organizing the shifts of teams.

Managers, supervisors, or senior leaders in an organization can use it to track, schedule, and manage their team shifts. Furthermore, this free template provides you additional value by allowing you to organize the shift hours of your employees and the labor costs of your employees. It also enables you to adjust their daily shifts. It can assist you align your teams as per your needs leading to improved efficiency, employee satisfaction, and overall company performance.

Company name and the start date can be entered at the top of this template. As you enter the start date, the employee roster is automated to update as per your set date in a format showing days, dates, and months.

You can adjust the shifts of your teams as per your need in the configuration sheet; i.e., the first shift can start at 7 AM and end at 5 PM, the second shift can start from 1 PM to 11 PM, and the third shift from 11 PM to 7 AM.

You can manage the overlapping of the team’s working hours per your company’s busy hours. Each shift has a specific color, for instance, the first shift has a salmon color, the second shift is denoted by pink, and the third is represented by aqua color. These color-coded boxes represent the shifts in the roster chart. 

The core sections of this template are:

  • This template typically has six teams listed in the left column. On the right, an employee roster is provided, where you can set the working shifts of your teams for each day. There are rows with similar colors denoting a week. If a team works four consecutive days a week, then they can have three consecutive days off. It allows shift rotation, which is the systematic rotation of employees between different shifts to ensure equitable distribution of work hours and to accommodate varying shift preferences. At the end of this chart, the manager or supervisor can write their name and signature
  • A separate sheet is provided to track the shift hours of your teams. Dates are provided on its left side, and a chart consisting of teams’ names and their working hours on the right is present. It allows you to automatically calculate the daily and 21-day working hours of each team, including the sum of all the team’s total working hours as you set the shift hours.
  • Similarly, the labor costs of employees can be calculated using embedded formulas. For each day, every team’s wages are calculated per each employee’s set hourly rates and written in front of them. Similarly, the sum of all the team’s wages is calculated and written in respective sections. At the end of each respective section, the sum of individual teams’ 21-day wages is written. Moreover, the total sum of all the teams’ wages can be automatically calculated and written at the end of the daily labor cost section to save time.
  • A configuration sheet is provided where you can define multiple shifts by customizing their duration according to working needs, such as setting shifts to 10 hours to accommodate specific work requirements or employee preferences. Their paid hours can also be set in this section. As you set these details here, they automatically update on the employee roster.
  • Another sheet is provided, where you can write the names of your employees and set the hourly rates for each of them. Furthermore, you can align your team by assigning each employee to a team and you can also add new employees to teams in this section. You can get an overview of the average cost per team and the total cost per hour for each team.
