Planning a big event or group trip? It can feel like juggling a dozen tasks at once, finding the right hotel, securing enough rooms, and making sure it all fits within your budget. That’s where a Request for Proposal (RFP) comes in handy in the hospitality industry. An RFP is like sending out a detailed requirement to hotels and event venues, telling them exactly what you need: the number of rooms, length of stay, expected guests, amenities, meeting spaces, you name it!

While you could book everything yourself, using an RFP makes the process smoother and often more cost-effective, especially for large group bookings that can get pricey. By issuing an RFP, you invite multiple hotels to bid for your request, allowing you to compare various proposals and choose the best deal that fits your requirements. It’s all about getting the best value with the least hassle!

Now, to make the RFP process even smoother, here’s a handy template from WordLayouts that’s got you covered. This Hotel Request for Proposal template is a structured document that’s easy to fill out and includes all the essential elements for an effective RFP.

It has sections for everything you need: stating the purpose of your RFP, giving background on your event, detailing your hotel requirements, outlining pricing details, setting evaluation criteria for the hotels, and even mapping out the timeline of your RFP process.

How to Use This Template

Using this template is easy, and its professional layout helps you craft your RFP effortlessly while saving you time. In the following section, we will go over this RFP template and discuss how to use it:

Purpose of RFP

In this section of the template, you can write about the purpose of issuing the RFP. To make this more informative, provide context for the project, including hotel expectations, service requirements, and any budget constraints. For example, if you’re hosting a technology conference, mention that you are looking for a hotel that can provide modern meeting facilities and high-speed internet.

Two scenarios are present in the template to describe the requirements of your event. If you are looking for a full-service solution, select Scenario 1 and remove Scenario 2 from the template.

Scenario 1 allows you to request services from the hotel, which not only include event setup but also require accommodation for the attendees. In addition to lodging and catering needs, Scenario 1 includes sections such as the availability of high-speed internet and A/V equipment for the event.

If you would like to hold your event somewhere else and request only accommodation options from the hotel, then fill out Scenario 2 and delete Scenario 1 from the template.  Scenario 2 features tailored sections such as transportation requirements from the event venue to the hotel or the presence of security staff, etc.

Replace any placeholders with your own information to personalize this section, such as the event name, the number of attendees, the dates, the amenities list, the food and beverage services, etc. You can also add any custom requirements here or remove the ones that are not relevant to your proposal.
