By the time the wedding day arrives, most of the big decisions are already in place. The dress has been chosen, the venue is booked, the cake has been tasted, the invitations have gone out, and everyone involved has a role to play. What often makes the day run well are the smaller details, especially knowing who to contact when a question, update, delay, or last-minute change comes up.
A wedding emergency contact list gives you one easy place to keep those important names and numbers. It can include family members, wedding party members, vendors, venue staff, drivers, the officiant, the planner, and anyone else who may need to be reached quickly during the event.
The Wedding Emergency Contact List Template by WordLayouts gives you a simple structure for organizing those details before the wedding day. You can use it to record contact names, roles, phone numbers, email addresses, backup contacts, and notes, then share the completed list with the people helping manage the day.
Read on to see what the template includes and how to fill it out.
This template groups contacts in four categories:
- Couple and bridal party
- Wedding day support team
- Vendors
- Medical and safety services
Each section covers a specific group of contacts so that someone from your support team knows exactly who to reach out to in different situations.
Now, let’s understand how it works step by step. Start by writing down the event date and venue location at the top of the template.
Couple and Bridal Party
In the first section, we have four columns: role, name, contact number, and notes.

In the first column, the template lists five roles: bride, groom, maid of honor, best man, and bridesmaid(s). In the adjacent columns, you have to write down the name, contact number, and notes for each. Use the Notes column to outline specific responsibilities or personal roles during the wedding.
This helps close friends and family act quickly in situations like wardrobe issues, missing items, or coordination needs.
For example, if you’ve assigned all bride-related responsibilities to a bridesmaid, then in case of a wardrobe malfunction, she’ll already know what to do and can fix it. Pair this template with a wedding emergency kit checklist to keep everything essential ready for such situations.
There are some blanks as well. You can add more people in here or delete rows if they are not needed.
Wedding Day Support Team
The second table covers your wedding day support team. Just like the above table, this one also has four columns with the same titles. But instead of the couple and bridal party, it lists information about the wedding planner, assistant planner, venue manager, and day-of coordinator.

The template also has a blank row at the end that you can customize according to your needs. It could be a catering lead, band coordinator, or transportation coordinator.
The Notes column should include key duties, coordination instructions, or escalation points. It ensures planners and coordinators know exactly how to handle vendor issues, timing changes, or setup concerns.
Vendors
This table carries information regarding the vendors. Let’s say your wedding cake isn’t in the same flavor you ordered. So instead of ruining your mood, the planner or a designated member of your support team can contact the listed person using this section and get it settled quickly.

This section’s layout is a bit different from the above two. It has five columns named service type, company, contact person, contact number, and notes.
In the service type, simply mention the service name, such as catering services, photography, videography, florist, makeup artist, bakery, etc. Next, write down the company name, contact person, their number, and notes for each vendor listed.
The Notes column can capture important service details such as delivery times, special requests, or backup contacts. This makes it easier to resolve issues quickly without searching through contracts or messages.
For the planning side of things, you might also find our Vendor List Template useful for organizing details and the Vendor Price Comparison Template for comparing prices and choosing what works best.
TIP: Add travel-related contacts such as hotels, transport providers, and local emergency services for destination weddings.
Medical and Safety Services
Unfortunately, medical emergencies often come unannounced, so it’s important to be prepared. The last section of the template focuses on medical and safety services. It gives you access to the right contacts to handle a medical emergency.

For example, an older person at your wedding can have a medical emergency, or a pregnant guest might need urgent care, or a small fire incident can happen. That’s why it’s better to be prepared than to panic.
In our printable template, the last table has a different layout from any of the tables above; it mentions three columns and several rows. The columns are labeled service, contact number, and notes, respectively. Here, add the contact number and notes for the nearest hospital, urgent care center, ambulance service, and police station.
In the last row, you can add any other contact you feel might be needed, for instance, the number of the nearest fire station.
TIP: Add ceremony-specific contacts, such as officiants or cultural/religious coordinators, where needed.
Tips for using this Emergency Contact List in a Wedding
To make your wedding day contact list practical and easy to use, there are a few things you should keep in mind.
- Clearly outline what each contact is responsible for. For example, in the notes section, you can mention that the maid of honor will act as the main point of contact for personal or bridal-related matters.
- Make sure to keep your contact list updated. In the lead-up to your wedding, you’ll be in constant contact with planners and vendors, so if by any chance they change their contact number, you should update it on the list ASAP.
- Keep printed and digital copies of this wedding emergency contact list. Digitally, you can use a shared document so key players can have real-time access to updates.
- Share a digital copy with key people such as vendors, managers, planners, family, the maid of honor, bridesmaids, groomsmen, the best man, the bride, the groom, or anyone relevant you feel like sharing with. Moreover, share printed, handy, pocket-friendly copies with a few people, like bridesmaids, the planner, and groomsmen. It’s safer to have both.
- You can use color-coding or visual labels to separate emergency services, vendors, and wedding party contacts (for the digital version).
This wedding contact list template is available in Google Docs and Microsoft Word formats. It’s fully customizable. You can alter it to fit your plans or download it to use as it is.
