An identifier header (wedding details at the top)

Right at the top is a dedicated section where you note event details such as the wedding date, name of the couple, or location. When you clearly label a schedule this way, it gets easier to recognize when shared with vendors, planners, or venue staff. 

A time column (sequential time blocks)

Here, starting from 9:00 AM (or whatever time you’d want to start your day), our schedule has free space so you can lay out your wedding day activities in chronological order. You can go hour by hour or have time blocks so everyone can see exactly when each activity begins and ends. 

Having the whole day in front of you on screen or paper keeps transitions smooth and prevents mismanagement issues, like an overlap between the ceremony and dinner service.

An activity column (what’s happening at each point)

This column defines what is happening during each time block. When writing this, you need to be very mindful of how you distribute events because your schedule is going to go to vendors and venue staff who will follow what you write. 

Be clear here; for example, day-of activities could look like “Bride& Bridesmaids’ Hair and Makeup” or “Family Portraits in the Garden Area.” 

A notes section (coordination and day-of details)

The notes section is designed for any supporting information that doesn’t belong in the main timeline but is important for a hassle-free wedding. This area is where wedding planners and couples can jot down reminders, lineup details, backup plans, transportation notes, and other instructions. 

You can write details like “Floral delivery enters through the loading dock” or “If it rains, move the whole ceremony indoors to Ballroom C.”
