An ATV/Snowmobile Bill of Sale is a legal document used to formalize, facilitate, and track the legal sale or transfer of an all-terrain vehicle (ATC), a snowmobile, or a similar vehicle designed for off-road use.

Commonly used in private as-is sales involving used or second-hand items, a Bill of Sale contains information regarding the seller and buyer, the amount paid, and specific details about the vehicle necessary for registration or tax purposes.

All About ATVs!

ATVs, sometimes known as quads or quad bikes, are motorized vehicles designed for use on a variety of different terrains like dirt, mud, sand, snow, or trails. They carry cargo, transport people, and tow property, but are most commonly used for sporting or recreational purposes. Note that you need an Off-Highway Vehicle or OHV permit for driving your ATV on trails!

Snowmobiles are less versatile than ATVs – and as their name suggests, only designed for use on snow.

Why Do I Need an ATV Bill of Sale

A clear and comprehensive Bill of Sale protects the seller and the buyer from potential legal disputes or misunderstandings arising in the future. As the official record of the transaction process, it is a key legal requirement for registering, insuring, reselling, or transferring possession of an ATV or snowmobile in any other way.

Some US states require them to be registered or titled, so always check with your local DMV office or relevant government agency for the exact registration process and legal requirements that apply in your area. Remember, without a proper ATV bill of sale form, the buyer cannot register the ATV or snowmobile under their name and obtain ownership rights.

Where To Register?

Go to your local Department of Motor Vehicles (DMV) office or the designated agency responsible for registering all-terrain vehicles & snowmobiles in the particular state you are in. For example, ATVs and snowmobiles in Texas are registered with the Texas Parks and Wildlife Department; in Wisconsin, they are registered with the Department of Natural Resources.

Run a quick Google search to find out which state natural resource agency is relevant to you.

For your guidance, I’ve detailed the contents and intended use of each item below…

The when & where of the sale

First up, specify the date of sale to ensure proper documentation and for future reference.

Make sure this date reflects the actual date of the transaction. If the two don’t match, it may be harder for you to prove you got rid of an ATV or snowmobile or bought it at a different time than the one recorded in writing.

Now, specify the location where the agreement is signed. This shall determine which local laws or regulations apply to your sale or transaction,

Buyer/seller info

Accurately identify both parties (buyer & seller) by providing their full legal names and updated contact details, such as current residential or business addresses, verified telephone numbers, and active Email IDs.

Payment details

Determine the financial terms of the sale by securely noting the paid purchase price and the payment method agreed upon by both parties, for example, via cash, check, ETF, or any other method suitable for both.

If the transaction involves a gift or trade, use the alternate version of the template (Version II).

Are Taxes Included in the Paid Purchase Price?

For tax & auditing purposes, it is important to clarify whether the paid amount covers applicable government taxes. These may be local, state, or federal taxes. Always verify tax laws specific to the location of the sale.

Important

Transfers made as gifts may be subject to different tax rules or eligible for exemptions.

Vehicle Details

Identify the ATV or snowmobile in question as clearly as possible. This ensures proper registration, ensures legal clarity, and removes any doubts about which vehicle is being sold or transferred. Our default categories cover details like make, model, year of manufacture, registration numbers, odometer reading, and CC readings etc.

Pro Tip

To minimize human error, make sure you note down numerical terms such as license numbers, serial and registration numbers, and other vehicle specifications as accurately and diligently as possible.

Sale Terms

Clarify if the seller is offering any warranty against the ATV or snowmobile, or selling it ‘as-is’, that is, in its current condition. In as-is sales, sellers make no legal assurances to fix or repair in case of damage or performance issues that may arise in the future.

Buyer’s right to a pre-sale inspection!

Also, clarify if the buyer is waiving or exercising their right to an inspection of the ATV or snowmobile before the sale or transfer. It is common and preferable for a formal inspection report to be attached to a bill of sale as a supporting document.

Verification

Have the final document signed and dated by both parties to make it legally effective.

What’s Next? Once signed, the buyer gets to keep the original Bill of Sale document. Both parties must retain a copy of the signed document for future reference, tax, and legal purposes.

Witness signatures (if required by law)

Depending on where you live, you might also need to have it signed by a witness (ideally, one for each party). In some states, witness signatures are required by law to duly execute the agreement. Check with your local regulations to find out if witnesses are necessary in your case.

If required in your state, notarize the document by signing the bill in the presence of a Public Notary. This step ensures that the agreement is being signed and entered into without any duress, making it harder to dispute in legal proceedings.

  • If someone is signing on behalf of the buyer or seller, make sure there’s a signed Power of Attorney giving them the authority to do so. The PoA must be affixed to the Bill of Sale as a supporting document.
  • Failure to obtain valid signatures could result in an invalid bill of sale.
  • Check with local laws to determine if your Bill of Sale must be signed by a witness or a Notary Public. For example, in West Virginia, Pennsylvania, and Maryland, residents must have the form notarized.
  • If the seller does not have the title, they can’t sign over the property, so make sure the seller has possession of the Certificate of Title (to be affixed as supporting doc).

What We Offer

In addition to a standardized bill of sale template, we also offer:

  • A printable Notarization Form as part of this package—ensuring your Bill of Sale is court-ready.
  • A pre-made Odometer Disclosure Statement form that makes it easy to include key transaction details—such as vehicle description, mileage, and party information—along with required signatures. This helps prevent odometer fraud while ensuring compliance with federal, state, and local laws.
  • A checklist of supporting documents attached to any bill of sale involving the sale or legal transfer of any type of motorized or non-motorized vehicle registered or traded in the U.S.

Word of Caution

Sellers are legally obligated to disclose if the odometer has exceeded its mechanical limits or has been altered or tampered with. In case of failure to do so, fraud laws may apply, leading to potential civil fines or criminal penalties, depending on which state laws apply.

How To Describe an ATV

A clear and specific description of the ATV helps to avoid any confusion or disputes about the vehicle being sold or transferred. Here is a sample description of a standard ATV registered in the U.S:

  • Make: Enter the name of the manufacturer, e.g., Honda or Polaris
  • Model: Enter the specific model name and number, like Sportsman 470
  • Year: Specify the model’s exact year of manufacture
  • Color: Enter the primary exterior color
  • VIN (if applicable): Diligently note down the full 17-character Vehicle Identification Number — usually found on the frame
  • Odometer Reading: Carefully and honestly record the number of miles as they appear on the odometer. Simply write Not Applicable if the vehicle does not have an odometer
  • No. of Cylinders: Typically 1 or 2 for ATVs
  • CCs: Enter the cubic centimeters of engine displacement – often found on the engine plate
  • Engine No.: Note the engine serial number, usually stamped directly on the engine casing
  • Registration No.: The vehicle’s current official registration number, if registered

Adding the Right Supporting Material to Your ATV Bill of Sale

Supporting documents are more than paperwork—they’re your safety net. When attached to your Bill of Sale, they help tally vital information, protect both parties, and keep future legal disputes at bay.

Some common supporting documents you’ll find with an ATV/Snowmobile Bill of Sale:

  • Copies of buyer/seller government-issued IDs
  • Certificate of title
  • Previous bill of sale (if any)
  • Proof of payment
  • Odometer Disclosure Statement (if the ATV has an odometer)
  • Inspection Report
  • Emissions Compliance Certificate
  • Lien Release Letter (if previously financed)
  • Proof of insurance (if applicable)
  • Off-Highway Vehicle (OHV) Registration or Permit (if applicable)
  • Power of Attorney (if someone is signing on behalf of the owner)
  • Warranty documents (if any)
  • Maintenance records
  • Recent photos of the vehicle

pro tip

Clearly label and reference each supporting document to facilitate the smooth exchange of information between the seller, buyer, and third parties, such as insurers or government agencies.
