Preliminary Information

When using this template, the first information that you will have to complete is the preliminary information, which includes the daycare’s name, the specific room or area the child will be kept in, and the date. Preliminary information acts as the foundation for the day’s activities.

It helps one know what will be where and for how long. It also makes it easy to monitor room assignments, maintain appropriate staff-to-child ratios, and track any special circumstances or instructions. 

Child attendance

The main attendance section is divided into two distinct parts: Children’s attendance and staff tracking. For the children’s section, each row is pre-labeled from “Chile 01” through “Child 12.” You can customize this section by including the names of the children who frequent your daycare this way, when the child is brought to the daycare, the parent or guardian will only have to provide their signature, fill in the time-in, and later the time-out when picking the child.

Staff attendance

Staff attendance tracking follows a similar principle but includes additional time slots for break periods or split shifts. Each staff member’s row includes multiple time in/out fields, making it easy to track various movement patterns throughout the day. The staff initials column serves as a verification method, confirming the accuracy of their recorded times. Excel’s data validation features can be particularly useful here – you can set up alerts if someone forgets to sign out or if times are entered in an incorrect sequence.

Comment section

The comments section provides space for important notes about each child’s day, special pickup arrangements, or any incidents that need documentation. You can format these cells in Excel to show a small indicator when they contain notes, making it easy for you or anyone to spot important information during busy periods.
