Let us first look at the Employee Information sheet. You will find fields here for adding the employee’s ID, Name, and title (such as Researcher, Senior Data Analyst, etc.). There is also a column for adding the department, Joining Date, and end date, which indicates the date the employee stops working at the organization.
If there is no End Date, then the template assumes that the employee is still employed and will display them each month.
You do not have to manually remove any employee details from the system; you can simply add an end date, and then the template handles it automatically, leaving no room for errors.

Config Sheet: Your Control Panel
Now that you have added all employee information, we will move to the Config sheet, where you will be able to customize the template according to your requirements. Here is what you can do with it:
Pick your weekend days:
Not every business works Mon–Fri. And with this template, you can set weekends according to your company’s or shift schedule. For example:
- Saturday–Sunday (traditional weekend)
- Friday–Saturday (common in some regions)
- Sunday only (for rotating shifts)
Set maximum leaves per month:
If your company allows, say, 2 sick days and 1 personal leave per month, just adjust the numbers. The system will later flag anyone who goes over.
Attendance codes:
You can manually add or edit attendance codes (e.g., W = Worked, S = Sick, A = Absent, V = Vacation, P = Personal Leave, H = Holiday).

Main Attendance Sheet: Fill In Attendance for Each Employee
Now comes the main part—recording attendance.
At the very top of the Main Attendance Sheet, you’ll find the Header Section. Think of it as your control center for attendance tracking. Everything you do in this section drives what appears in the main table below, making your workflow smooth and automated.
Here’s what you’ll find in the header:
Month dropdown
Choose the month you want to track. Once selected, the system pulls the active employees from the Employees Info sheet who are present during that month.
This ensures you never accidentally include former employees or miss new hires.
Year dropdown
Select the year for the attendance period. Together with the month, this determines which employees are displayed and ensures the calendar is aligned correctly.
Week dropdown
Pick a specific week within the selected month. The calendar in the main table automatically updates to show the correct dates for that week. This makes it easy to enter daily attendance without having to scroll through the entire month.

Attendance key
The attendance key provided in the header of this sheet displays all status codes (W = Worked, A = Absent, S = Sick, P = Personal Leave, V = Vacation, N = No Show, H = Holiday).
These codes are linked to the Config sheet, so any changes you make there automatically reflect here.
This quick reference ensures you always know what each code means when filling in attendance.

Recording Attendance
Once the header is set, you can now record the attendance. For each day, click the dropdown and pick the correct code for that employee.

Totals will automatically calculate at the end of each row (e.g., total sick days, no-show, vacations).

If someone exceeds the maximum allowed leaves (configured in the Config sheet), they’ll be flagged once you save the data.
Save Your Work:
Click the Save button after entering attendance. This action:
- Logs all the entries.
- Applies leave rules automatically.
- Flags employees exceeding limits.
