How to Use this Attendance Template

This file is set up to make attendance tracking easier. It has two main sheets (one for schools, one for colleges), a small Config sheet for codes, and some hidden sheets where your data is stored. 

Step 1: Open and save

When you open the template, Excel will ask you to enable macros. Click yes, or the buttons won’t work.

Save a new file for each class or semester to avoid overwriting data.

Step 2: Pick your sheet

Now you have to choose the sheet that you require.

  • School Attendance sheet for day-to-day attendance at various levels, like secondary, high school, primary, etc. 
  • College Attendance Sheet for college lecture attendance. It includes extra details like Department, Semester, and Credit Hours.

Step 3: Set up the month

At the top of each sheet, choose the Month and Year from the drop-down menus.

The drop-downs for Month and Year control the calendar. This means you never type dates manually.

Step 4: Fill in the header

On School Attendance, you’ll see fields for adding details like Class, Teacher, and Subject. On College Attendance, you’ll also have Department, Course, Semester, and so on. 

Step 5: Add your students

Now you have to manually enter the roll numbers and student names in the list on the left. You have space for about 20 students by default, but you can extend the table if needed.

Write full names exactly as they appear in official records, and double-check spelling.

Step 6: Mark attendance each day

Once you have the student names and roll numbers, you are ready to start using  this template for marking attendance. Use the codes from the Config sheet (you can rename them to fit your system).

Example: P = Present, A = Absent, E = Excused, EL = Early Leave.

The drop-down menu lets you quickly add attendance status without errors.

Use attendance data to spot chronic absenteeism. Share your monthly report with parents and guardians to support the student.

Step 7: Save the attendance record

When you finish entering attendance for the month, click SAVE.

The data is stored in a hidden sheet. You won’t see it, but it’s saved.

Step 8: View a saved month

If you want to look at past attendance, pick the Month and Year at the top.

Click LOAD. The sheet will fill with that month’s data.

Step 9: Totals

The template automatically calculates the totals for each student. On the far right, you’ll see totals for each attendance code (how many days present, absent, etc.) for each student.

There’s a RESET button that erases all saved attendance. Only use this if you really want to start fresh.
