We have designed this simple and editable template that gives you full control over visualizing the tasks within a project with clear milestone mapping, flexible positioning, and space for assigning team members.

How to Use This Project Timeline Template

Project milestone

The first column is for the milestones. List here the major deliverables or checkpoints in your project. Milestones are the key moments that signal progress or completion of critical phases of your project

Example

  • System Architecture Finalized
  • Marketing Launch
  • UAT Completed
  • Final Report Approved

Appointed to

Next, enter the name of the team or person responsible for delivering the milestone in the column titled Appointed to. This shows ownership and helps with communication and follow-up.

Example

  • Product Team
  • Ravi Kumar (Lead Dev)
  • QA Department

Start date

This is the official date the milestone work begins. It anchors the milestone along the project timeline.

Example

  • 15 July 202x
  • 01 August 202x

Placement

Now we come to the Placement column that controls both the vertical and horizontal positioning of the milestone label on the visual timeline and help you prevent overlapping text and confusion.

The numbers entered in the Placement column control the positioning of timeline elements. This column reflects both the Appointed To person or team and the Milestone Name, and the assigned numbers guide the template in arranging these elements accurately. Choosing the number will position the milestone on the timeline. So, that means

  • If you choose a positive number (e.g., +1, +2), then it places the milestone above the timeline.
  • And if a negative number (e.g., -1, -2) is entered, then it places it below the timeline.

Use small numerical differences to horizontally stagger closely timed milestones and keep the layout cleaner.

Example Use Cases:d

This feature helps you in two situations: 

  • If two milestones are on the same or close dates:
  • Milestone A → Placement = +1
  • Milestone B → Placement = -1
  • If three milestones are bunched up around the same week: A = +1, B = +2, C = -1
  • All milestones will appear staggered vertically and slightly apart horizontally for clarity.

Starting point

This field determines the horizontal anchor point of the milestone on the timeline. By default, 0 means it’s centered on the start date. 

But if you have multiple milestones on the same date (which is a common scenario), you can use this feature to separate them horizontally. Simply assign slightly different values (e.g., 2, 3) in this column to all the project milestones that are starting on the same date.

Example

All milestones start on 01 August 2025:

  • Milestone A → Starting Point = 0
  • Milestone B → Starting Point = 2
  • Milestone C → Starting Point = 3

Each will stay linked to the correct date but appear offset, so they don’t visually stack.

Remarks

The last column is for adding observations and remarks for each milestone.  Think of additional context, dependencies, notes, or risks related to the milestone.
