For small businesses or startups, managing inventory and tracking sales performance is important but investing in expensive software is not always a possibility. This Sales Tracking template at WordLayouts provides the right solution for monitoring your sales, managing product stocks, and analyzing financial performance.
This template provides built-in automation, a visual dashboard, and easy data entry to manage your sales in one place without the complexity of expensive tools.
This spreadsheet template is compatible with both Excel and Google Sheets and is meant to track low-volume sales or businesses in the early stages. It is an excellent solution in spreadsheet format. However, for businesses with more advanced needs, we recommend using dedicated software or a cloud-based service.
Let us explore the features of this template and understand how it can be used to monitor sales performance.
Sales Tracking Dashboard
The Sales Tracking Dashboard gives you a visual summary of your sales performance by consolidating data from the other sheets of the template. You can filter data for a particular year or focus on a specific month’s data by using the Year or Months slicer.
If you want to see how your sales were for 2024, you can simply click on the year slicer and select 2024. In an instance, you will know the Total Sales, Total Profit, Total Profit Percentage, and Inventory Value.
In addition to this, a pie chart illustrates the distribution of the sales channels and shows you the percentage of wholesale, online, or direct sales. Furthermore, in this same section, there are two comparative bar graphs that show Inventory Value and Potential Revenue to evaluate stock levels and expected earnings.

In the second part of the dashboard, you will find four key graphs that provide a quick and comprehensive overview of your sales performance. The first chart presents a Monthly Sales Breakdown using a line graph. It gives you an overview of your total monthly sales at a more granular level. This graph allows you to compare seasonal trends or fluctuations in sales patterns.
Additionally, a horizontal bar graph for Product Wise Sale lets you compare the sales performance of individual products. The Category Wise Sale pie chart displays the distribution of sales across various product categories like vegetables, condiments, fruits, etc. The dashboard also showcases a pie chart that shows the Top 5 Products Sale Wise to quickly identify the top-selling items in your inventory.

The dashboard also highlights the top-performing product. It presents details of the product, such as the product ID, total revenue generated from its sales, and its name.

A dedicated slicer for months allows you to filter data for any month and analyze the same metrics available in the annual overview. By analyzing consistent metrics across both timeframes, you can make a comprehensive analysis of your performance.
Lastly, the Dashboard features navigation tabs for Admin, Product, and Customers sheets, and you can easily switch between these sheets.
Product Data Sheet
This sheet requires manual data entry for various key fields like Product ID, Product Name, Category, Opening Stock, Sold Quantity, Buying Price, and Selling Price.
Once you have added these entries manually, the columns for the Closing Quantity and Stock Status are automatically updated. The Item Status offers a dropdown menu where you can either select Discontinued or Active options. We have also added data validations to avoid invalid entries.
Customers
The sheet for Customer Information is a database of your customers and you can manually enter data for fields like Customer ID. Customer Name, Email, and Contact Number. The information in this sheet is linked to the data input form in the monthly Sales and Financial Datasheet and is used for punching sales data.
Sales Data and Financials
There are 12 monthly sheets for adding sales and financial information for each month. Each sheet has columns for tracking Date, ID, Product ID, Quantity, Discount, Sale type, Customer Name, Product Name, and Category.
Data can be filtered by selecting the year from the drop-down menu. After selecting the year, the sheet will display the data for each month of that selected year. The Total Profit field is updated in real time each time a new entry is made.
The Mark an Entry tab is provided for punching sales. It opens a data input form where you can select Product ID, Quantity, Discount, Sale Type, Customer ID, Customer Name, and Product Name through dropdown menus. We have added data validations and auto-detections to this form. For example, adding a customer ID will auto-fetch the customer’s name.
Alternatively, you can manually enter data directly in this sheet as well, where similar dropdown menus are available for Customer ID, Product ID, and Sale Type. The Discount and Quantity fields have to be filled in manually.
The fields for Category, Buying Price, Sale Price, and COGS are automatically filled in after you select the Product ID. The Gross Price, Revenue, COGS, Gross Profit, and Gross Profit % values are automatically calculated when you enter data for the Quantity field. When you enter a value for the Discount field, the Revenue, Gross Profit, and Gross Profit % fields automatically update.
The Admin sheet is to reset any existing data and select the year for your analysis from the Year list.
Poor data quality is a content challenge for sales professionals. According to a Salesforce survey, 39% of the respondents cited it as a major obstacle to accurate sales forecasting. This sales tracking template is developed to consolidate all sales data in one place and provide an organized system of managing your sales information. It is available in multiple formats, like XLTX, XLX, Google Sheets, and ODS. The automatic calculations, efficient data entry, and dynamic graphs help you make informed decisions and optimize your sales pipeline.
How to Benefit from Sales Tracking
Sales tracking is more than managing your inventory and financial data. Using a systematic approach to monitoring your sales is especially important for the growth of startups and small businesses.
