Do you face challenges in defining your graphic design scope of work due to miscommunication or unclear expectations? This free template is available to facilitate you in thoroughly defining your scope of work, setting clear expectations, and making your project management effective. It can be used by individual graphic designers or design firms. It has sections for writing the project overview, deliverables, details and specifications, phases, and timelines. It also allows you to get feedback from your clients, make revisions, and write payment terms, confidentiality, rights terms, and termination clauses. It is a comprehensive template for describing your scope of work professionally.

At the top of this template, you can write your phone number, email, website link, and address. Then you can write the client’s name, designer’s name, and project title. The start and estimated completion dates of the project can also be written including the project location.

This template provides you with the following main sections:

Project Overview

A brief description of the project, its purpose, and expected outcomes can be described to provide clarity and a solid foundation for the document and its context. In this section of the template, you can do the same.

Project Deliverables

Deliverables can provide clarification of expectations, defining the scope of work, planning, and resource allocation. In this section, you can write all the deliverables that your graphics design project is going to produce, such as logo design, business card and website design, brand identity package, digital collateral, and more. Their formats, such as PNG, PDF, and AI can also be written including their quantities. The due date for each of these deliverables can be written.

Project Details and Specifications

Alignment of the scope of work, guidance, and clarity can be enhanced by writing clear project details and specifications. In this section of the template, you can write the design preferences of your clients, such as preferred colors, design styles, and specific elements to include. You can also decide to set the sizes and dimensions of your designs per your need, such as for logo designs you can choose 300×300 pixels and for business cards, you can choose 3.5 x 2 inches. The file formats of designs can also be mentioned here to further enhance clarity, such as for logos and business cards you can choose PNG, JGP, AI, and SVG.

Project Phases and Timelines

Projects can be divided into phases and their timelines can be discussed to make project management effective, enhance communication, and make the overall project delivery successful. In this section of the template, you can split your graphics design tasks into phases, such as concepts, revisions, and finalization. Here, you can write their brief descriptions including their start and end dates.

Feedback and Revisions

Collaboration between stakeholders can be increased by providing constructive feedback. Your flexibility in providing on-time revisions can enhance the trust of your client. In this section, the client can write their feedback regarding the project and may ask for revisions if required. You can also set the number of revision rounds and expected turnaround time for revisions.

Payment Terms

Setting up clear payment terms is compulsory because it assists in establishing financial expectations, setting payment milestones, managing cash flows, and more. In this section of the template, you can write the total cost of the project and initial deposits. You can write the milestones of your tasks, and write descriptions for each of them, such as upon project kickoff, after concept approval, and upon final delivery. These milestones can make the project tracking process easier for stakeholders. The due dates for these milestones can also be set to further enhance accountability.

Confidentiality and Rights

Depending on the content present in a design project, some information might be confidential and stakeholders might not like to share it. In this section, you can write all such confidential information regarding the project. These may include, all designs and concepts that are the intellectual property of the designer or client as per your agreement. These may also include terms as the client will have full rights to use and distribute the designs upon completion and full payment.

Termination

For mitigating risks, legal protection, and protecting both parties, a termination procedure is provided. In this section of the template, you can specify the conditions under which either party can terminate the agreement and any penalties.

Acceptance

Both parties can write the signatures by the end of this agreement, once all the terms and sections are mutually agreed upon by both parties. The date can also be written here.
