If you run regular client calls and want to instantly reference a past conversation and never miss a follow-up, then you need to maintain a detailed call log for your business. At WordLayouts, we have developed a professional template, designed in Excel and Google Sheets, for managing your client call interactions. The template is designed to improve your customer outreach and lead generation. It can help you manage past conversations with clients, pitch them the right product, services, or solutions, and see real-time updates on a graph of how client interactions are progressing.

This Client Call Log template consists of three interlinked sheets: Client Information, Configuration, and Client Call Log sheet. 

To start using this template, begin by filling out the Client Information Sheet. Here, you can add their names, client type, source, email address, contact number, and address. This information helps you automatically populate the Call Log Sheet. The Client Type and Source fields have dropdown menus that are linked to the Configuration sheet. You can select the option against each name from the dropdown menu to set the appropriate status.

After this, you can go to the Configuration Sheet. The purpose of this sheet is to provide options for the dropdown menus in the Call Log Sheet and the Client Information Sheet. This sheet contains options for Source, Lead Status, Client Type, and Priority dropdown menus. You can define these categories according to your workflow and business needs. 

After filling out data in both of these sheets, you are ready to use the Client Log Sheet. This sheet contains columns for recording, Date, Time, and ID of the caller. You can click on the Name column and select the client’s name from the drop-down menu, which is already configured in the Customer Information Sheet. There are also columns to note the No. Of Calls Made, Last Call Date, and the Day Difference to note down the gap between calls. 

You can select the Status and Priority columns from the dropdown menus you configured earlier. The Priority and Lead Status fields are color-coded for convenience. However, you can modify these colors according to your preference. 

At the top of this template are three dynamic graphs as well, which are automatically updated from the data in the Client Call Log Sheet. Source, Status, and Priority data are represented by the graphs. The graphs are updated as you enter new data in the Call Log Sheet and give you a quick overview of the performance.

All fields in this template are customizable and you can adjust them according to your business needs. Use this template to stay organized and maintain detailed information on client interactions.

How do the drop-down menus work?

The drop-down menus are configured via the Configuration Sheet. You can easily modify these menus by editing the options listed in this sheet. Once updated, the drop-down options in the Call Information Sheet will reflect your changes. 

Can I use this template in formats other than Excel?

Yes, this template is available in multiple formats, like XLSX, XLTX, Google Sheets, and ODS. 

How do I update client information across the sheets?

When you update the data in the Client Information Sheet, it is instantly pulled into the other sheets.

Can I add more fields to the Call Information Sheet?

Absolutely! The template is fully customizable. You can insert additional columns or modify existing fields in the Call Information Sheet to suit your requirements. 

What happens if I exceed the number of entries allowed in the current sheets?

The template is scalable, which means that you can add as many rows as needed in the Call Information Sheet without affecting the functionality. The formulas and drop-down menus in the sheet will adjust automatically.
