A weekly expense report records business expenses incurred by an employee during a defined reporting week. It consolidates those expenses into one document for verification and reimbursement.
A structured expense reporting process helps businesses collect accurate expense information and simplify reimbursement management. Instead of reviewing scattered expense details, employees can submit their weekly claims in a clear format, while finance teams can easily review and process submitted expenses.
The WordLayouts Weekly Expense Report Template provides dedicated sections for different expense categories, claimant information, and automatic calculations for total expenses and reimbursement amounts. Available in Excel and Google Sheets, it offers a simple solution for organized weekly expense reporting.

What Is a Weekly Expense Report?
A weekly expense report is an internal document that itemizes business expenses incurred by an employee during a defined reporting week. It records each expense, summarizes the weekly amount, and calculates the reimbursement due after deducting non-reimbursable costs and any advance received.
A weekly expense report is commonly used when:
- Employees travel frequently for work.
- Sales representatives or field staff incur regular business expenses.
- Companies require weekly reimbursement submissions alongside a weekly attendance record.
- Small businesses and freelancers want to monitor expenses more closely.
Why Track Business Expenses Weekly?
From accuracy to faster reimbursements, weekly reporting offers several advantages, such as:
Prevents expense backlogs
A weekly reporting cycle helps in timely reporting. Employees submit the transactions and receipts from one week instead of reconstructing a longer expense history later. It also prevents finance personnel from receiving a large group of older claims at once.
Supports faster reimbursement review
The organization can review a completed report at the end of each reporting week rather than waiting for a monthly submission. Actual payment timing still depends on the organization’s approval and payment process.
Simplifies expense verification
Each amount is placed under the day it occurred and within a prepared expense category. A reviewer can compare that entry with the date and type of cost shown on the supporting record.
Creates a consistent review record
Each completed report offers a complete record of the claimant, expenses, reporting week, and reimbursements that finance teams can also use to inform financial projections. Further, it also provides finance personnel with a consistent record for tracing reimbursements and investigating discrepancies.
Key Features of Weekly Expense Report Template
The template includes the following features for recording, calculating, and reviewing weekly expenses:
- Separate description lines in this sheet allow expenses to be divided into identifiable cost types before the daily and weekly amounts are calculated.
- It has a space to input the mileage rate ($), which is helpful for personnel who have used their personal vehicle for the company’s business.
- The built-in formulas provide automatic calculations, summing up daily and weekly totals for every listed expense.
- The separate fields for non-reimbursable expenses and advances received distinguish these amounts from the reimbursable expense total.
- Fields like employee identity, purpose, a detailed expense table, supporting notes, and submission as well as approval sections help you in creating a stable weekly submission and review record.
A Walkthrough of the Weekly Expense Report Template
The worksheet neatly organizes weekly expenses in three categories. It provides a structured way to record expenses, calculate totals, track reimbursements, and maintain organized records for accounting and budgeting purposes.
In the sections below, you’ll find a detailed explanation of each part of the template, including its purpose and how to use it effectively.
Company and weekly setup
The header contains placeholders for Company Name, Address, Phone, and a logo. Administration or HR can replace these in the master copy before it is distributed.
An approved Mileage Rate ($) can be entered here. Note that it is a reference field for the per-mile rate authorized for business use of a personal vehicle. It does not calculate mileage reimbursement automatically. Whether the organization follows the IRS standard mileage rate or sets its own rate, the approved rate is entered here.
After entering these details, the master sheet can be retained and uploaded to an employee portal or company intranet or shared individually when a report is needed.

Employee and expense context
The employee-information and expense sections are completed by the person submitting the claim, either as expenses occur or at the end of the reporting week. Receipts and other supporting documents should also be retained with the report.
The employee block contains Employee Name, Employee ID, Department and Designation. Together, these fields help in identifying the claimant and direct the report to the relevant department or reviewer. Use the same name and ID shown in the organization’s employee record.

Purpose of Expense Report describes the assignment or activity that connects the week’s costs. A short statement such as “Regional client visits in northern Illinois” is more useful than a generic entry such as “Business expenses.” It gives the reviewer context for the claim without forcing the same explanation into every description line.
However, note that the overall purpose does not replace a more specific description when an individual entry is unclear.

Reporting week section
Week Start refers to the starting date of the reporting week for which expenses are being recorded. Enter any date within the relevant week, and the workbook will automatically identify the Monday of that week and update the expense table with the corresponding dates from Monday through Saturday.
For example, if you enter Friday, 07/24/2026, the workbook recognizes that it belongs to the week starting Monday, 07/20/2026. The same reporting period is generated if you enter Monday, 07/20/2026.

Weekly expense table
The main table is organized by expense type and day. In the Description column, use one line for one recognizable expense or cost type and fill expenses in front of relevant description rows on the respective days. Costs that need different supporting records or explanations are clearer on separate lines.
The template provides 3 category tables to include your expenses:
- Travel & Transportation table records the cost of travel undertaken for an approved business purpose. Separate description lines can be used for airfare, rail or bus fares, taxis, rideshare services, rental vehicles, tolls, parking, and calculated personal-vehicle mileage reimbursement. Business-related travel requests need prior approval and proper documentation. The travel request form templates are useful to have a standardized form for all such requests.
- Lodging & Accommodation covers overnight accommodation required for business travel, such as hotel room charges, applicable lodging taxes, and other policy-approved accommodation fees. Personal services, room upgrades, and unrelated incidental charges should be excluded unless the organization’s policy specifically allows them.
- Meals & Entertainment covers policy-approved food and hospitality expenses connected with business travel, client meetings, team activities, conferences, or company events. Description lines can distinguish employee meals, client meals, event refreshments, and other approved hospitality costs. Where required, the business purpose and participants can be identified in the description or supporting records.

Expense category totals
- Each description line adds the amounts entered from Monday through Saturday and displays the result in the Total column automatically for the whole week.
- The sheet automatically sums all the expenses of the category and shows a separate daily total for the reporting day at the bottom of each category.
- At the right end of each category, the worksheet also combines the total entries for the entire week and gives you a weekly category total automatically.

The template displays the Total Expense value by adding the three category totals automatically. This figure combines the weekly expenses for Travel & Transportation, Lodging & Accommodation, and Meals & Entertainment.

Reimbursement reconciliation
The reconciliation area separates the week’s recorded expenses from the amount that remains payable to the employee. It converts Total Expense into the net amount shown in Total Reimbursable by considering reimbursement adjustments.
Non-Reimbursable are costs that are not paid back by an employer or organization. These are usually personal expenses or purchases that are not covered by the reimbursement policy.
Advance Received is money provided by the employer before a business trip or work-related activity to cover expected expenses. An advance received helps employees pay for expected business expenses without using their own money. After the expenses are reported, the advance is deducted from the total reimbursable amount so that only the correct balance is paid or returned.
The approver may review both entries as per the company’s policy and supporting documents.
The template subtracts Non-Reimbursable and Advance Received from Total Expense to give you a Total Reimbursable value automatically. This balance represents the amount still payable to the employee.

Notes, submission, and approval
The employee completes Submitted By, Signature, and Date Submitted. Date Submitted is the day the report enters the review process, not the last day of the expense week.
Approved By, Signature, and Date Approved sections are filled in by the person authorized to approve the disbursement. That reviewer may compare the entries with the Purpose of Expense Report, the receipts or logs, the organization’s reimbursement policy, the amount in Advance Received, and any exclusions.
The Notes section holds explanations that do not fit within the expense table, such as refunds, unusual transactions, missing supporting records, or other information relevant to the review.
If the organization reimburses via a check, an employee check request form template can also be used to initiate the payment after the expense report has been approved.

Customizations
- The three prepared category expense headings can also be renamed if the organization uses different reimbursement or accounting classifications. Keep each heading broad enough to cover its description lines.
- The prepared expense table covers Monday through Saturday and does not contain a Sunday column. Organizations that regularly report Sunday expenses should use an approved version configured for their full reporting week.
- Update Mileage Rate ($) and its decimal format when the authorized rate changes. If the IRS rate is used as the benchmark, confirm the applicable date range on the IRS page rather than copying a fixed rate from an older report.
- You may add more rows in any category if the number of expenses exceeds the line items that are already present. Make sure that any added row stays inside the coverage of the total formula.
- If the report is completed digitally, you can add the image of the submitter’s or reviewer’s signatures in the relevant fields of the sheet.
Note that the sheet is locked to protect against accidental edits in the formula cells. Unprotect it before making any changes in it.
