Project Details

Here, add basic details about your project by answering the following questions:

  • What is the formal name of your project?
  • When does your project officially start?
  • When is it expected to end?
  • Who is responsible for planning and executing the project?
  • Where is the project being implemented?

  • In Column A, number your tasks so you can easily reference them for internal communication. This makes it easier to search for a specific task when you have an extensive task list.
  • Column B: Name each task before adding any further details about it. For example, in case of software projects, your tasks could be SEO Optimization, UX Design or Frontend Development. 
  • Column C: Add a short and clear description of what the task entails so everyone in the team knows what role they have the role to play.
  • Column D: Here, identify the individual (or team) who is responsible for making sure the task is completed on time and as per project standards & expectations.
  • Column E: Prioritize each task using our built-in drop down menu. You can set priority at High, Medium or Low depending on the strategic importance, impact or urgency of each task. If you want to use different categories, use the configuration sheet we have provided to customize. 
  • Column F & G: Establish a specific time frame for each task by adding a start and end date using our built-in calendar. 
  • Column H: Based on the start & end dates you manually enter above, we calculate and show the total duration of each task in this column.
  • Column I: Use our drop-down menu to update the status of each task once your project kicks off. We use four status categories: Not Started, In Progress, Completed, and Under Review – but you can adapt these to your own project needs & requirements.
  • Column J: Specify what % of work has been done for each task using our built-in progress bar.
  • Column K & L: In these two columns, specify the amount of money assigned to each task in the formal budget documents, followed by the amount of money you end up spending (which, may be higher or lower than the planned estimate). Remember, without a steady flow of cash, it’s impossible to keep a project running. After all, the last thing you want is to run out of resources mid-project. Side-by-side placement of planned vs. actual costs helps you stay on track and within budget.
  • Column M: Add any additional comments, notes or suggestions you may have for each task. Use this space to highlight challenges you might face, or any follow up steps needed in the future.

Writing things down is always helpful. But to make the most of this written list of tasks, you need to complement the whole idea of task management with the right tools & practices.
