Stakeholder mapping is often not a one-time activity but an ongoing process throughout the lifecycle of a project or program. It helps identify key stakeholders, understand their influence, and develop key strategies for their management.

How to Use this Stakeholder Mapping Template

The template we have provided is known as Power Grid, Interest Grid, or Stakeholder Matrix. This type of stakeholder mapping template helps you prioritize stakeholder engagement efforts and tailor communication strategies more easily. 

It is designed to be simple but effective. It is divided into grids with each grid having its own color code and function stipulated. Although the color codes and functions can be changed and customize to fit individual needs, here is a breakdown of what each quadrant included in this template should include:

  1. Keep Satisfied: The “Keep Satisfied” quadrant is for stakeholders with high influence in the project or program but have a low personal interest in the project. Here, try to keep these stakeholders satisfied. Do this without overwhelming them with too much information. Also, consider providing them with regular but concise updates.
  2. Monitor: The “Monitor” quadrant should contain a list of those stakeholders with low influence and low interest in the project or program. For this type of stakeholders, consider monitoring them but avoid providing them with too much information. Apply minimum effort as you monitor them and be prepared to respond to them and re-categorize them should their interest or influence change over time.
  3. Manage Closely: Here list all stakeholders with high influence and high interest in the project. Try to fully engage and make the greatest efforts to satisfy them. Also, make sure that you maintain regular communication and involve them in decision-making processes.
  4. Keep Informed: In this quadrant, make a list of all stakeholders you know who are highly interested in the project or program but have little influence. For these types of stakeholders, try to keep them adequately informed and consult them on their areas of interest. Also, try to provide them with regular updates, seek their inputs whenever possible and acknowledge their contribution to maintain their enthusiasm and support.

Expert Tip

To properly use this template, start by identifying all the stakeholders involved. Then, assess their level of power and interest. After doing this, place each stakeholder in the appropriate quadrant based on the assessment. Then, develop specific engagement strategies for each quadrant based on the guidelines provided. Finally, regularly review and update the matrix as the stakeholder positions may change throughout the projects lifecycle.
