A well-written character reference letter can significantly sway the outcome of an immigration application, including visa, green card submissions, or naturalization petitions. This is because it highlights the applicant’s relationships, expected future contributions, and desirable traits like strong work ethics, trustworthiness, courage, integrity, and ambition, which can influence the immigration judges’ decisions positively. Considering the significance of this letter, your reputation and closeness with the applicant significantly influence the credibility of your testimonial. Therefore, you ought to be careful about who you recommend. Typically, you will write a character reference for a family member, employee, or friend. Additionally, you may need a template, like the one we offer, to guide you on how to structure the letter and the elements you need to present to try and convince the immigration judge.

Understanding the Judicial Perspective

Immigration judges read reference letters to gain insights into the applicant’s character, relationships, contribution to the community, and suitability for citizenship or residency. They want to make sure that they are approving the application of a person who would be an excellent addition to society, and an honest reference letter helps in having an overview of the applicant’s character.

However, the reference is more effective if written by someone credible and one who knows them well enough to vouch for their character. For instance, the US Citizenship and Immigration Services (USCIS) highly values character reference letters if you are a US citizen or permanent resident. Since immigration is a legal proceeding, you should be careful when selecting who to refer, as you do not want to endorse the application of someone with questionable character or criminal history.

Note that this letter applies regardless of whether the person you are endorsing is immigrating for family, employment reasons, or any other.

How to Write a Convincing Character Reference Letter

Having an outline of a character reference letter enables you to plan what information you need to present in the final draft. So, here is a breakdown of each essential component of a compelling character reference letter for immigration:

Introduction

The letter begins with a formal and attention-grabbing opening to let the reader understand a simple personal background, who the letter vouches for, and the relationship between the two. So, details like your occupation, how long you have known the applicant, and the type of relationship you share should come up in this section.

Example

Dear Immigration Judge,

My name is John Doe, and I am the vice chairman of the Virginia Hillside Estate Home Owner’s Association. I have known Yolanda Biggs for more than eleven years. Our relationship began during our internship tenures at Hixel Microsolutions LTD and blossomed into a long-standing friendship in Benin.

Body

A good reference will be evidence-based, truthful, and heartfelt. This section is meant to sell the immigrant to the application reviewers or immigration judges while maintaining authenticity and trust. This section should be formatted as a narrative.

Some of the topics that can be addressed in this section include:

  • Positive character and conduct – Immigration judges and review committees look for applicants with desirable traits that would easily integrate and promote harmony within the community. Instead of simply stating, the letter should give real-life examples to illustrate the applicant’s character and conduct. One effective approach to highlighting such traits is by giving a life story or situation where these qualities were shown. You can reference their upbringing, work achievements, community service, or volunteer activities.
  • Professional/Work ethic and academic contributions – The letter can also reference their conduct in professional and academic settings. You can highlight instances in which they produced exemplary results. This displays their potential to contribute to society and have a positive impact.
  • Relationship or Family ties – It should come out clearly that you and the applicant are close or reasonably familiar with each other. To do so, the letter should describe the nature of your relationship and your motivation for recommending the immigrant. If you are a family member in the US drafting the letter, indicate how the applicant’s entry into the country would be helpful and the emotional distress of being away from each other.
  • Financial status – The letter can discuss their financial standing to illustrate that they have the financial means to support themselves and other dependents if granted entry.
  • Community and volunteer work involvement – Referencing community or volunteer work is a good way of convincing the immigration judges of the immigrant’s proactive involvement in the community. This is because such history can significantly indicate their future contributions to the country.

Example

When working in Benin, I was awestruck by Yolanda’s commitment to bettering her life and those around her. As a young foreigner in her country, it was challenging to adapt to the culture and society at large. However, she was kind enough to welcome me, use her free time to show me around, and teach me how to communicate with locals, ultimately making my life way easier than I could have ever imagined.

Since our internship days, I have had the privilege of working with her over the years on different projects at Hixel company. I was overjoyed when she finally decided to come to the US. Her illustrious career has seen her rise over the ranks to become a regional project manager at Hixel’s Benin branch. Through this opportunity, she has managed to support and give her two children the best education. Her first-born daughter Joan studies at the University of Ohio, and the second-born James studies at Temple University.

This application, if accepted, would be an excellent opportunity for this beautiful family to reunite. Beyond her career and life as a mother, Yolanda has a heart for giving back to society, which she has successfully done by volunteering for company outreach programs like the Two Hands, Twice Braver campaign of 2024. Through this program, they have been able to work with local governments to save more than 800 children from domestic and economic abuse. I believe her principles are deeply rooted in who she is, and she would make an outstanding and industrious citizen of this great country.

Closing

The closing should tie everything together and highlight the applicant’s worthiness for staying in the country. It contains your expressed endorsement of their application and a summary of all the reasons included in the letter. Also, it should contain your contact information should the immigration department want to verify the letter’s content. Finally, you must sign the character reference letter and, if possible, notarise it to enhance its credibility.

Example

In conclusion, I am confident that Yolanda would be a valuable member of any community and country where she is welcomed. Her generosity knows no demographic boundaries, and her commitment to her family and career are indicators of her quality of citizenship. I am available to comment on her application at any time via 5555-5555 or [email protected]

Sincerely,

John Doe

letter

Dear [Immigration Judges],

I am Kevin Scholtz, a long-time colleague and friend of Yusuf Haji. I am the global HR manager of Deflo, a world-leading freight company. Yusuf has been our employee for more than seven years as a Freight Coordinator.

Yusuf’s challenging life has been a remarkable tale that saw him work his way from a small town in Algeria called Djelfa to becoming our Freight Coordinator in his country. He has demonstrated zeal, integrity, and sociability since he joined our team. These qualities have made him one of our best-performing members, for which he has been recognized by Employee of the Year awards twice.

We have had a very cordial and close relationship characterized by compassion and push to do better. He is a family-oriented individual who financially and emotionally supports his 5-member family. He has done a remarkable job of putting all 4 children through formal education. On top of being a committed employee and parent, Yusuf has a reputation for being the first to volunteer in our outreach programs year in and year out. This indicates his active participation within the community and society at large and his dependability when duty calls. If approved, I believe his stay will be welcomed at any community he joins.

In conclusion, I believe Yusuf is ready to come to his new home country. His work ethic throughout the years indicates his commitment to whatever he sets his mind to. I believe he can replicate his kindness, diligence, and service to humanity in this country. As I finalize, kindly do not hesitate to reach out via 8888-8888 or [email protected].

Sincerely,

Who Should Write the Letter?

Typically, a wide range of people can write character reference letters for immigrants. Ideally, you should be a distinguished individual in society, such as a mentor, employer, police chief, attorney, judge, doctor, or community leader. A good reputation and worthwhile educational background can also increase the credibility of your character reference letter. However, note that anyone in society, including family members, friends, school teachers and ministers, can write conventional immigration reference letters.

Tips

  • Consider the relevance of each point you include. The information included should be relevant to the immigration application. For instance, if the immigration pathway is employment-based, the letter should prioritize professional accomplishments.
  • Write the letter on time to make sure the applicant sends the letter together with their application documents. This safeguards the reference letter from getting lost along the way and makes sure that the immigration judges or review committee receives it at the same time as other application documents.
  • Review our samples in two instances – when creating an outline of what details to include and before submitting the letter to make sure all details are included as required.
  • When creating the outline, request the applicant to add bullet points of what they consider important for their application and include this information when making your case on their behalf. However, remain truthful and relevant when presenting your points in the letter.
