Planning a wedding puts you in touch with a lot of people very quickly. There is the venue manager, photographer, caterer, florist, officiant, decorator, transportation company, beauty team, rental provider, family contacts, wedding party members, and sometimes that one person who somehow knows where everything is.

This Wedding Contact List Template gives all those names and details a proper home. You can use it to keep vendor contacts, client details, wedding party contacts, family contacts, and internal team members in one organized sheet. It works for couples planning their own wedding, and it also works for planners or event teams handling the contact side of a wedding.

The template is simple, editable, and easy to scan. You can add contacts as planning moves forward, sort them by type, and keep phone numbers, emails, addresses, service hours, websites, and notes in one file instead of digging through texts, emails, and screenshots.

What This Template Includes

The main sheet works as your wedding contact register. It includes 12 columns for the details you are most likely to need before the wedding and on the day itself.

The Contact Type column lets you group each contact by category. You can use labels such as Vendor, Client, Internal Staff, Bridal Party, Officiant, Caterer, Florist, Photographer, Venue, or any category that fits your wedding. This column uses a dropdown menu, so you do not have to type the same category names again and again.

The Company/Organization column is for the business, venue, agency, or team the person belongs to. This is especially useful when one vendor has more than one contact person.

The Last Name and First Name columns keep names clear and easy to read. This matters more than people think, especially when the sheet is being shared with a planner, assistant, coordinator, or family member who may not know everyone personally.

The Role or Title column tells you why the person is on the list. You can add details such as Lead Photographer, Venue Manager, Catering Coordinator, Bride’s Brother, Florist Assistant, or Transportation Contact. A name alone is not always enough when wedding details start moving fast.

The Phone Number 1 column is for the main number you would call or text first. Add the number where the person is most likely to respond.

The Phone Number 2 column gives you room for a backup number. Some vendors have an office line, a mobile number, or a second contact number for event-day coordination.

The Email Address column is for written communication, booking details, confirmations, invoices, timelines, and follow-ups.

The Service Hours column is where you can note when a vendor, venue office, or team member is available. This is handy when you are working with people who have set office hours or event-day shifts.

The Website column gives you a place to save vendor websites, portfolios, menus, service pages, galleries, or booking links.

The Address column can be used for venue locations, vendor offices, pickup points, delivery addresses, rental warehouses, or any place connected to the wedding plans.

The Notes column is for the details that do not fit anywhere else. You can add notes such as “Handles final headcount,” “Call only after 10 AM,” “Responsible for table setup,” “Needs parking access,” or “Confirm arrival time one week before wedding.”

Configuration Sheet

The template also includes a separate Configuration sheet. This sheet controls the dropdown options used in the Contact Type column.

You can edit the contact types based on your own wedding setup. For example, you may add Officiant, Caterer, Florist, Photographer, Venue, Bridal Party, Family Contact, Transportation, Beauty Team, Rental Company, Entertainment, Security, or any other category you need.

After you add your categories to the Configuration sheet, they appear in the Contact Type dropdown on the main contact list. This keeps the list neat and makes filtering easier later.

The Configuration sheet also includes a macro-enabled reset option. This button clears the contact data and returns the template to its starting state. You can use it when starting a new wedding file or preparing a fresh copy for another client, couple, or planning team.

Helpful Excel Features Built Into the Template

This template looks simple, but it includes a few spreadsheet features that are useful when the contact list starts getting longer.

The Auto-Filter feature is added to the columns. You can filter the list by contact type, company, role, service hours, or any other field. For example, you can view only photographers, only venue contacts, only transportation contacts, or only people who still need follow-up.

The header row can stay visible while you scroll through the sheet. This keeps the column labels in view when you are working with a longer list.

The template is fully editable too. You can add new columns, remove fields you do not need, rename categories, change colors, adjust fonts, or shape the sheet around your own planning style. A couple planning a small wedding may keep it simple. A wedding planner or agency may add fields for staff assignments, payment status, confirmation dates, or priority notes.
