What Is a Price Quote and Why Use One?
A price quote is a document a seller provides to a potential buyer to state the price of specified products or services under defined terms. It may remain valid for a stated period.
A price quote is used for the following purposes:
- It may help keep pricing consistent by recording costs, quantities, and rates in a formal layout.
- It helps you present the offer professionally with enough details so that the customer can properly understand the price.
- It saves time by providing a pre-drafted structure, while selected spreadsheet templates may also calculate totals automatically.
- The document can be retained as a record for later discussions, revisions, and billing.
What Should a Price Quote Include?
Depending on your selected template, a price quote may include the following elements:
- Basic details: The seller’s and customer’s names and contact information, along with the quote number and issue date.
- Scope of work: A detailed breakdown of the items, services, or deliverables, along with any exclusions.
- Pricing: Quantities, rates, or unit prices, including the labor and material charges and applied discounts.
- Quoted total: Subtotals, applicable tax, and final quoted amounts.
- Timeline: The time required to complete the delivery, project, or milestone, where relevant.
- Offer terms: These may include payment terms, accepted payment methods, and the date until which the quote remains valid.
- Acceptance details: This space contains the instructions for the customers to approve the quote.
A quote can sometimes be accompanied by scope of work templates to list the detailed deliverables, responsibilities, or exclusions. We also encourage you to check our contract templates if the transaction requires a separate agreement.

How to Customize and Use These Quote Templates?
This quote template collection is not limited to just the above layouts. You can customize any of your templates as per your needs. Here is how:
- Add your logo, business name, address, phone, website, and license number in the header or footer.
- Change fonts, brand colors, borders, and shading so the quote matches your business.
- Add or delete rows, and rename columns to suit your pricing (Qty, Hours, Guests, Unit).
- Give the description column more space for scope notes, inclusions, and exclusions.
- Adjust number formats, currency symbols, and date styles to match your region.
Note: Some customizations may require you to unprotect the sheet first. In Excel, go to Review > Unprotect Sheet; in Google Sheets, use the Data > Protect sheets and ranges option to adjust or remove the protection before making those changes.
Quoting Best Practices & Process
Before sharing the quote, complete the following checks:
- Check the customer details, like their name, billing address, and contact information. This ensures that the relevant person receives your quote and prevents it from being misplaced.
- Review the entered charges (fixed or hourly), their subtotals, and their totals. This helps prevent payment disputes arising from calculation errors or accidental mistakes.
- Confirm whether tax applies to the transaction and check that the correct rate and calculation have been used.
- Confirm that the scope of the work listed matches the customer’s requirements and the exclusions are clear.
- A good practice is to share the quote in a PDF where appropriate, as it may reduce accidental changes and preserve the layout.
- If the scope of the work, quantities, or price changes, revise the quotation. Further, get approval for the revised offer where it is required.
Once the quote is accepted, a service provider often transfers the job details to a work order template. A buyer may use a purchase order template to formally place the order.

FAQs
Do the templates include a customer acceptance or signature section?
Check the preview of the selected template for an acceptance or signature section. If the layout you choose does not include one, add space for the customer’s name, approval date, and signature, or state how the customer should confirm acceptance.
What formats are the quote templates available in?
This collection includes Google Sheets and Excel templates, along with selected Word and Google Docs templates. Check the download options before going with one format.
Should I choose an Excel or Word quote template?
You should go with the Excel or Google Sheets template if you need to enter several quantities or organize/handle bulk data, or if you just want a spreadsheet layout. A Word or Google Docs template may satisfy you if you need more room to explain scope, deliverables, or terms.
