Professional contractors involved in construction projects need to define their work scope for their clients. To assist them in effectively communicating their work scope, a free template is provided. It outlines the contractor project overview, objectives, scope of work, location and sites, timeline and schedule, deliverables, payment terms, and more. It also serves as a tool for reporting and communication, ensuring the health and safety of employees, and environmental compliance. You can have quality assurance and control, write terms and conditions, appendices, and supplementary documents within sections provided in this template. 

At the start of this template, you can write the project title, project code, client name, and contractor name (your name).

The core sections of this template are the following:

Project Overview and Background

Understanding the contractor’s scope of work background and providing an overview can help in documentation, decision-making, alignment, and knowing the project context. In this section, you can provide a concise description of the project, its background, and its objectives. 

Objectives and Key Results

What outcomes the client expects from the contractor’s scope of work are necessary to understand and document. These can help comprehend the goals and expectations of the client. In this section, you can write the main objectives of the project and the anticipated results upon completion. The objectives can be completing the project on schedule, staying within the budget, ensuring quality service, and maintaining a safe and secure workplace. 

Detailed Scope of Work

This is further divided into two sections, i.e., scope inclusions and scope exclusions. 

  • Scope Inclusions: Whatever is included in the scope of the contractor’s work can be listed here. Writing these can manage expectations and mitigate confusion. In this section of the template, you can write the tasks such as pre-construction services, project management and coordination, site preparation and setup, construction activities, and equipment and materials. 
  • Scope Exclusions: What is not included in the scope of the contractor’s work can be written here. It can clear any miscommunications or expectations from the client. Here, you can write design services, permitting and regulatory compliance, geographical investigations and environmental remediation, and furnishing and fixtures. 

Project Location and Sites

Knowing the exact location and site of a project is necessary because it helps analyze the condition, legal compliance, logistical considerations, and assessment of risks. This section is further divided into two sub-sections, such as the primary site and the secondary site. 

Primary Site

It refers to the location where the main activities of the project will take place, knowing it can assist in resource allocation, increasing focus, and risk management. 

Secondary Sites

A location for performing additional project activities or operations is called a secondary site. Such a location is helpful in situations where more than one place is required for performing tasks of the contractor’s project. This may help in expanding the scope of work, resource allocation, and more. 

Timeline and Schedule

In a contractor’s scope of work, a project is divided into milestones, and their start and end dates are written with descriptions. It is useful in scheduling, tracking, and executing projects. Here, you can add milestones, such as site preparation, foundation construction, structural framing, mechanical, electrical, and plumbing rough-in, and more. 

Deliverables and Acceptance Criteria

This section helps clarify the expectations, define the scope, and ensure the quality of the contractor’s work. In this section, you can add deliverables, such as engineering and architectural drawings, site plans, permitting documents, construction schedules, and material specifications. It also allows you to write the due dates, acceptance criteria, and descriptions of these deliverables. 

Compensation and Payment Terms

This section is further divided into two sub-sections to increase clarity, such as payment schedule and payment methods. 

  • Payment Schedule: For promoting clarity and transparency regarding budget and finances, space for writing the payment schedules is provided. Here, you can write all the payment installments, their amounts, and due dates. 
  • Payment Methods: Providing a choice in selecting the payment methods increases convenience, efficiency, and compliance. This section allows you to add payment methods, such as cash, cheques, direct bank transfers, through cards, and more. 

Reporting and Communication

Documenting the reporting and communication channels can keep the team members involved in a contractor’s project updated. It also helps in on-time issue resolution and accountability. In this section of the template, you can write the updates and communication schedules based on their frequency, such as weekly, monthly, and emergency. 

Health, Safety, and Environmental Compliance

In a contractor’s scope of work, keeping the health and safety of workers should be the top priority because these are the resources of a company. In this section of the template, you can write the safety protocols, environmental guidelines, and health considerations for the project, such as risk assessment and hazard identification, health and safety policy statements, personal protective equipment, emergency procedures, and more.  

Quality Assurance and Control

Ensuring continuous improvement, minimizing waste, and enhancing efficiency, all while maintaining quality, is mandatory in the contractor’s scope of work. In this section, you can outline the quality standards, assurance protocols, and control mechanisms for the project. 

Terms, Conditions, and Other Provisions

There might be some additional terms and conditions that do not fit in already provided sections, so to provide flexibility, you can write them here. It enhances clarity, compliance, and confidentiality. In this section, you can write the special terms, warranties, and other provisions relevant to the project. Here, both parties, i.e., the client and contractor can write their signatures and date to show their agreement to the overall contractor’s scope of work. 

Appendices and Supplementary Documents

Adding additional documents, references, or materials relevant to the contractor’s scope of work can increase trust, reliability, and mutual understanding. In this section of the template, you can attach all such documents.
